What to ask before switching parcel auditors

Reviewed

Agree on a cutover date, open-case ownership and usable exports before changing access. Reconcile the first carrier credits after the handoff.

Build the exit inventory

List invoices reviewed, unresolved discrepancies, submitted requests, approved items and posted credits. Record carrier case IDs where available. Confirm which historic exports remain accessible and how long the agreement permits access.

Assign ownership at cutover

Use the carrier account and shipment date to define which provider owns each item. Assign a single owner to any request that is already open. Clarify fees due after termination if a credit posts later. Check the actual contract rather than assuming there is no tail period.

Secure the data handoff

Confirm who owns the carrier credentials and which roles can revoke access. Export to an approved internal location and validate that files contain the necessary dates, tracking references and statuses. Avoid sharing login credentials through an inquiry form.

Reconcile the first cycle

Check outstanding requests against the first new invoice. Confirm that reports link corrections and credits to original charges. Review the first provider statement and resolve any overlap with prior work.

Turn the cutover into named tasks

Assign the contract review, export validation, carrier permissions and first-cycle reconciliation to named roles. Decide who can approve changes to access and who can accept the final case inventory. A cutover date is useful only when each team knows which records and permissions it must deliver by that date.

Ask the incumbent for a snapshot before notice where the agreement allows it. Check that the export is readable outside its platform and includes the case identifiers needed to match later carrier activity. Test a few lines against the carrier invoice. If the export omits an important field, request a supplemental record before access changes.

Give the incoming provider the agreed start date and define the shipment population it will review. If the incumbent continues work on earlier requests, record the boundary by account and date. For any item with unclear ownership, decide who will file or monitor it so neither provider duplicates a request or assumes the other is handling it.

Use the carrier’s authorized access process and keep credentials within the organization’s approved systems. Review which accounts the incoming provider can see, confirm who can revoke access, and document the retirement of old permissions. If another workflow uses the same access, check how it will be affected before revoking it.

Set a reconciliation meeting after the first statement. Compare cases open at handoff with those closed or still unresolved. Review charges owed to each provider against its own agreement. Escalate missing credits and missing records separately, because they require different actions.

Keep a record of the final closeout and where the archive lives. A future audit or dispute may require the original claim evidence even after both providers finish their work. Preserve what the organization is entitled to keep under its terms and retention policy.

Plan for exceptions on cutover day

Keep a contact and ownership list for missing records and late carrier responses. If a case cannot be assigned by shipment date alone, use its existing carrier reference and have both teams confirm the owner. Record the resolution in the handoff list so finance can reconcile a later credit against the same record.

Worked example (hypothetical)

A hypothetical operations team finds a carrier credit after the outgoing provider has stopped reviewing new shipments. The shared status snapshot identifies the original filer and service date. Finance checks the prior agreement’s fee provision and prevents the incoming provider from opening a duplicate request.

Questions to ask

  • Which written term determines the fee?
  • What invoice and credit records support the comparison?
  • Which services or fees sit outside the scope?
  • Who retains the data after a change?
